    We set this up for Xero clients across the Houston area, and the pattern is consistent: the businesses that stay on top of receipts are the ones that made capture a same-day habit, not the ones with the fanciest tools. The technology is genuinely good now, good enough that hand-typing bills in 2026 is mostly a choice.

    Two cautions from doing this for real clients. First, automation on top of a messy chart of accounts just produces messy books faster, so the setup underneath matters as much as the capture tool. Second, the draft-and-review step is not optional. The software reads documents well, but it isn't judgment, and a wrong supplier match or miscoding repeated across hundreds of transactions is a bigger cleanup than the typing you saved.
