Frequently asked questions

Most of these come up on a first call. If yours is not here, ask us directly. We would rather answer it than have you guess.

Working with us

Year-round. We work as an ongoing financial partner rather than a once-a-year preparer: monthly bookkeeping, quarterly tax planning, and payroll running continuously. That is the whole point. The decisions that change your tax bill get made in June and September, not in the week before the filing deadline, so a CPA who only appears in the spring can only tell you what already happened.
Yes. Darshi Kasotia is a Texas-licensed CPA, registered with the Texas State Board of Public Accountancy, and a member of the AICPA. The firm has been in practice since 2007. She is also a Xero Silver Partner, a QuickBooks ProAdvisor, and a Zoho Books Partner. You can read more about the firm.
You work with Darshi. She knows your file personally and is directly reachable: not a ticket queue, not a call center, and not a new account manager every few months. Her team handles routine work under her review, but the judgment and the accountability sit with her.

Fees

Fixed, transparent pricing. There is no hourly billing and no invoice arriving after a phone call you thought was included. Bookkeeping, payroll, tax and outsourced CFO work are all quoted up front, so you know the number before the work starts. Our published ranges are on the site rather than behind a consultation.
It depends on which services you need and how complex the work is, which is why we publish real ranges instead of a single number. The pricing page sets out the range for each service and, more usefully, what pushes an engagement toward the low or the high end of it, so you can place yourself before you call.

Getting started

Yes, and it is one of the most common ways clients start with us. Catch-up work, sometimes called clean-up, means taking messy or long-neglected books and getting you to clean, current numbers. No judgment: it is ordinary, it happens to businesses that are growing faster than their admin, and it is a defined project with an end rather than an open-ended cost.
It starts with a conversation about what you have and what you need, which is usually where we find out whether your books are current or well behind. If catch-up work is needed, it gets scoped on its own so you can see what it costs to get current before deciding what it costs to stay current. After that it is mostly access and history: your accounting system, secure document exchange, and enough prior records to make sense of the opening balances. Working with us describes the ongoing rhythm in more detail.
It depends on your net profit and what a reasonable salary looks like in your situation. There is a level of profit below which the election costs more in payroll administration than it saves, and above which it saves real money. The only way to know which side you are on is to run your actual numbers. We do that with you before recommending anything. It is a standard part of our tax planning work.

Services

Yes. Full-service payroll: accurate processing, on-time payroll tax filings, direct deposit, and year-end W-2s and 1099s. Payroll is the area where small mistakes compound quietly into penalties, so it is worth having it sit with the same people who see the rest of your books.
Yes. Outsourced CFO support covers cash-flow forecasting, KPI dashboards and budgeting for businesses that need CFO-level thinking without a full-time hire. One thing worth knowing up front: this is an advisory layer on top of a bookkeeping engagement, not a replacement for one. The forecasting is only as good as the books underneath it.
Often, yes, and the two are not the same job. A bookkeeper records what happened. A CPA interprets it, plans around it, and can represent you if the IRS has questions. We frequently work alongside an existing bookkeeper rather than replacing them, and if you would rather hand over the whole thing, we can do that too.
Yes. New business formation covers entity choice, EIN, and getting your first-year tax position right rather than discovering it was wrong two years later. Note that state filing fees are separate and passed through at cost.
Yes. Trust and estate work includes Form 1041 filings, trust income tax, and coordinating with a client's attorney and financial planner. It is often entangled with a business owner's personal return, which is where having one firm see both sides helps.
Yes, and it is a genuine vertical for us rather than a passing mention. Restaurant accounting has its own problems (tip reporting, cost-of-goods percentages, multi-location profit and loss, Form 8027) that are not well served by generic bookkeeping.

How the work happens

No, and the large majority of our clients never do. We are a Houston-area firm and most of our clients are local, yet almost all of them are served entirely remotely. In-person meetings are available when they genuinely help; they are simply not a condition of working together. Working with us explains what that looks like day to day.
Through a secure document exchange platform, not by email. You upload, we collect, and the platform keeps a record of the exchange. The common alternative, emailing a PDF of a full tax return, is the genuinely risky one.
No. We work inside the system you already run, whether that is Xero, QuickBooks Online or Zoho Books. Migration is a service we offer when there is a reason for it, never a precondition. How we think about each platform is set out separately.
Yes. As a Xero Silver Partner we handle the setup, the data migration, and the first ninety days afterwards, which is when the problems actually surface. Worth saying plainly: we will tell you if we think the migration is not worth doing. Read more about Xero.
We work inside your Zoho Finance stack, including Books, Inventory, Billing and Expense, and we are a Zoho Books Partner. No migration required. This is a genuine specialty rather than a checkbox: most CPAs have never opened Zoho Books, and most Zoho consultants are software implementers rather than accountants.
Because those are two different skills. Your implementer probably built the software correctly. The question is whether anyone checked the accounting underneath it: whether the chart of accounts makes sense, how cost of goods flows out of Inventory, whether Billing reconciles to Books. That is usually where the problem is, and we often work alongside the implementation partner rather than replacing them.

Where we work

Yes. A Texas CPA license carries practice privileges across state lines, which is what lets us file for a business operating anywhere. We currently file in ten states and work with clients across nine states and four countries. Multi-state work is more involved and priced accordingly, so mention it early if it applies to you.
We are based in Sugar Land and work with businesses across Greater Houston, including Katy, Missouri City, Richmond and Stafford. Because the work is done in your cloud accounting system rather than across a desk, the practical difference between a client ten minutes away and one across the country is small.
